Application Process

Are you planning a research stay within the HIDA Mobility Program?

The HIDA Mobility Program supports Helmholtz Center employees looking to expand their expertise through a research stay and transfer new knowledge back to their home institution. HIDA covers travel and accommodation costs – up to €2,000 per month for a maximum of three months.

This page provides a step-by-step guide on how to apply. 

1. Finding the Right Place for Your Stay

HIDA offers you several ways to find a suitable host institution for your research stay.

  • Search feature: Search specifically by target regions and research fields.
  • Program Overview: Learn more on the pages of the individual subprograms.
  • Hosts: Find Helmholtz hosts who accept guest researchers.

Note: The listed hosts are just a selection of possible options. You are also welcome to contact potential hosts independently and arrange participation in the HIDA Mobility Program with them. 

Developing a Project Idea

Before applying for the HIDA Mobility Program, you should clarify the following points:

  • Define your goals: What do I want to learn? Where do I want to go?
  • Get in touch with the desired host institution
  • Develop the project together with the host
  • Coordinate the time frame, if necessary also with your home center

Once the project planning is successfully completed, submit your application in the system. 

3. Submitting the Application

The formal applicant is your center.

As the participant, you are responsible for drafting the application and coordinating with:

  • Your home supervisor (at your own center)
  • Your host (at the host institution)

The application assistant will guide you through the entire process and will specifically request input from all parties involved.

Note: The research stay is formally considered an extended business trip. Therefore, please make sure to observe your center’s business travel regulations—especially with regard to approvals and reimbursements.

What Happens Next?

After submission, the application will be reviewed and evaluated. You and your center will then receive a notification indicating whether the stay is eligible for funding.

Once you receive the approval, you can submit the business travel request at your center and begin organizing your trip.

After completing your research stay, you’ll be expected to submit a final report to HIDA. Detailed guidelines on the format and content of the report will be provided here in due time.

Travel expenses are settled through your center; HIDA will cover costs of up to 2,000 €.
