This page outlines the key regulations and operational framework of the HIDA Mobility Program for researchers, hosts, and administration.

The HIDA Mobility Program promotes research stays to foster mobility and the exchange of scientific knowledge within the Helmholtz Association as well as with external partners.

Who is eligible to participate? 

All employees of Helmholtz Centers are eligible to apply, regardless of their area of work or type of contract.

Individuals associated with a center are also eligible to participate, as long as they are authorized to claim travel expenses through the center. 

The only requirement is a clearly identifiable connection between the planned stay and the fields of data science or artificial intelligence.   

What is funded?

The program allows for research stays of up to three months. As part of the HIDA Mobility Program, travel and accommodation costs of up to €2,000 per month can be covered.

Funding is provided exclusively through reimbursement to the sending Helmholtz Center after the stay has been completed.

Important: Please note that double funding—particularly for travel and accommodation expenses—is not permitted. Funding from other programs for the same purpose may therefore not be used simultaneously.

In addition, the stay must take place during an active employment contract with a Helmholtz Center.

When can applications be submitted?

Applications for the HIDA Mobility Program can be submitted on a rolling basis. The selection process takes place every two months. Applications are pooled and evaluated at the beginning of each odd-numbered month (e.g. January, March, May, etc.).

Following each pooling date, a selection phase begins that typically takes around three months. As a result, a funded research stay can commence at the earliest three months after the respective pooling deadline. This timeline ensures sufficient time for the evaluation process and the necessary organizational preparations.

What are the criteria for the funding decision?

For the awarding of the grants, the motivation of the applicant, the quality and originality of the project as well as the basic feasibility within period of the planned research stay are particularly decisive.

Furthermore, a relation to the field of information & data science as well as the added value for the research portfolio of the Helmholtz Association must be clearly recognizable.

Information about the final report

After completing the research stay, participants are expected to submit a brief final report. This report serves to document the scientific exchange and also provides a basis for the further development of the program. It is to be submitted directly to HIDA.
