The HIDA Mobility Programme promotes the transfer of knowledge across Helmholtz centres. Secondments give administrative and managerial staff the chance to explore and apply established AI and data science solutions directly in their daily work.
With the HIDA Mobility Program, employees of the Helmholtz Association can undertake a secondment at another Helmholtz centre. For staff in administration and management, the duration can range from one week to up to three months, depending on individual needs.
Thematic focus areas include:
- Information & Data Science
- e.g. data quality, reporting, dashboards, data flows
- AI and Machine Learning in practice
- e.g. assistance systems, automation, chatbots
HIDA covers travel and accommodation costs. Funding of up to €2,000 per month is available (pro rata for shorter stays).

AI in Administration and Management
AI in Administration and Management
The incorporation of artificial intelligence (AI) into our working lives is opening up new possibilities – not only in science, but also in administration and management. HIDA's course series ‘AI in Administration and Management’ imparts future-oriented knowledge that prepares employees for an increasingly digital future with AI-supported technologies.
On site, you will work alongside teams as they:
- introduce an AI solution and embed it into day-to-day workflows,
- build, maintain, and continuously improve a chatbot for recurring enquiries,
- structure content in a knowledge base to keep answers accurate and reliable,
- track performance and impact in operations and refine the solution over time.
Target group
This program is aimed at employees of the Helmholtz Association who work in administration or management, e.g.
- in human resources or finance,
- purchasing & procurement,
- science management (e.g. advisors, coordinators),
- finance
- communication
Application
To participate in the HIDA Mobility Program, you first coordinate your stay with a contact person at the host centre. Together, you define the focus areas, the role of the host, and the duration of the stay.
In the next step, you submit the application via Prometa. Formally, your home centre acts as the applicant, while you coordinate the alignment between all parties involved.
The application assistant guides you through the entire process and requests specific input from the relevant participants.
Note: At the beginning of your application, please select “Administration.” You do not need to complete sections that explicitly require a scientific background (e.g. a list of publications). If a field is still mandatory, simply enter “-”.
The research stay is formally considered an extended business trip. Please therefore follow the travel regulations of your centre.
You can find more information about the regulations here!
